Adding Appointments
- From Calendar choose File, New Appointment. This will open an appointment dialogue box.
- Fill in a Subject for the appointment and a location for the appointment.
- Add a start date and time and an end date and time for the appointment.
- Set a reminder if you would like by clicking the reminder area and setting the amount of time.

- Click Save & Close when done.
Create Meeting Request
- From Calendar choose File, New, Meeting Request. This will open the Meeting Request dialogue box.
- Enter a Subject and Location.
- Click the Attendees option top open the Attendees dialogue box.

- Click Address Book, then find the people you need to invite to the meeting and double click their names. When you have all of your attendees added click OK.
- Click the Scheduling button shown below Appointment to show free/busy times of all invited attendees.

- Find a date and time that works for all meeting participants. Enter that in the Start and End Time.
- Click Send. Meeting Requests will be sent to all Attendees. The appointment will be automatically added to your calendar. Attendees will receive a Meeting Request email and have the opportunity to Accept or Reject your meeting request. If they Accept it will add the meeting to their calendar. If they Reject the meeting will not be added to their calendar. You will be notified if they have Accepted or Rejected the Meeting Request.
Share Your Calendar
- From the Calendar click Share My Calendar.
- Type the name of the person you would like to share your calendar with.
- If you would like to view their calendar check the Request Permission to Review Recipients Calendar option.
- Type a message in the body if you would like.
- Click Send. The recipient will recieve an email that you have shared your calendar with them. If they want to allow you to share their calendar they will have the opportunity to respond.
- To change the permissions right click on your calendar and selection Properties, Permissions. Select the person you would like to change the permission of and give them the needed permission. For instance if you would like the person to add appointments to your calendar you should give them the role of Publishing Editor.
View Classroom Calendars
All Classroom and Conference room calendars are available for viewing.
- From Calendar choose Open a Shared Calendar
- Click the Name button. Type Classroom. This will open a list of classrooms by building then number.
- Scroll to find the classroom you would like to view. Double click, then click ok. The classroom calendar will open beside your calendar. You can then go to various dates to view when the classroom is being used and when it is empty.
- To search for a Conference Room type Conf Room instead of Classroom on instruction #2. To search for a Computer Lab type Comp Lab.
